Scheduling Instagram and Facebook posts

Scheduling posts in advance means sitting down now and then, preparing two to four weeks of content, and then spending only a few minutes a day on social media. Here is how, with an overview of tools, including free ones.

In short

  1. 01Content plan first, tool second.
  2. 02You can schedule for free in Meta Business Suite, Meta’s official tool.
  3. 03Buffer and Hootsuite suit you when you manage more networks or more people.
  4. 04A scheduler does not decide what to publish. For that you need a plan or a tool that creates content.

Why schedule ahead

Consistency

Posts go out even when you are busy with orders.

Better content

A post thought through calmly beats one shot in a hurry at night.

Overview

You can see you are not repeating yourself and offers do not dominate.

Next step 1: Prepare a content plan
Step 1 of 4

1Prepare a content plan

A content plan is an ordinary spreadsheet. One row per post:

date and time
network

Instagram, Facebook or both

format

Post, carousel, reel, stories

content type

Product, advice, behind the scenes, offer

topic and copy
status

Idea, ready, scheduled

How to come up with the posts themselves is covered in How to create Instagram posts for an online shop.

2Schedule for free in Meta Business Suite

Meta Business Suite is Meta’s free tool for Facebook Pages and Instagram business accounts. According to Meta’s help centre, you can create and schedule posts, reels and stories in its Content and Planner tabs.

1

Connect your Facebook Page with your Instagram business account.

2

Open Meta Business Suite (web or mobile app) and go to the Planner.

3

Create a post, choose where it should be published and upload an image or video.

4

Instead of publishing now, choose to schedule and pick a date and time.

5

Scheduled posts then appear in the calendar, where you can edit or move them.

Button names in the app change from time to time, but the steps stay the same.

3When to reach for another tool

Meta Business Suite covers only Facebook and Instagram. Other tools add more networks, team collaboration or content creation. Prices are from the vendors’ pricing pages as of 14 September 2026:

Buffer

A simple scheduler for several networks. The free plan handles 3 channels and 10 scheduled posts per channel; the paid Essentials plan costs USD 5 per channel per month billed yearly. It does not create content. Comparison with Virlya

Hootsuite

Social media management for teams and agencies with reports and mention monitoring. Paid plans from USD 99, 14 days free. Comparison with Virlya

Canva

Besides design, it also offers content scheduling. You still design the graphics yourself. Comparison with Virlya

Virlya

Handles the step before scheduling. It proposes a campaign plan and creates the posts, and you approve them. Publishing to Instagram, Facebook and LinkedIn comes with the Growth plan; on Solo you download finished posts and schedule them, for example in Meta Business Suite.

Next step 4: A few rules that pay off
Step 4 of 4

4A few rules that pay off

Work in batches

One or two sessions a month instead of daily brainstorming.

Keep a buffer

Two or three extra finished posts for days when something falls through.

Check facts before publishing

Especially prices, availability and sale dates that may have changed since scheduling.

The plan is not set in stone

When something happens (sold out, a new review, the season), reschedule.

Frequently asked questions

Can I schedule Instagram posts for free?
Yes. Meta Business Suite is free and can schedule posts, reels and stories for Facebook and Instagram business accounts. Buffer’s limited free plan is free too.
Do I need an Instagram business account?
For scheduling through Meta Business Suite and most other tools, yes. Switching to a business or creator account is free in Instagram settings.
How far ahead should I plan?
For a small online shop, two to four weeks ahead works well. Longer plans get rewritten anyway as your range and offers change.
